Special Events Associate

Compensation range: $58,000—$66,700 per annum

Summary

American Progress’ Events team is seeking a Special Events Associate to plan and execute events, coordinate between departments internally and externally, maintain event calendars, and perform other duties related to organizing and hosting small- and large-scale events.

Responsibilities:

  • Assist with the planning and execution of small- and medium-scale events and assist with larger events for a portfolio of policy teams of varying size, which they manage.
  • Serve as primary liaison between the Events team and college and university policy departments and student group liaisons.
  • Coordinate interdepartmentally with American Progress staff, vendors, and the public.
  • Coordinate catering, equipment, technical, security, and logistical needs for events.
  • Write and prepare web-based event invitations and other work-related correspondence.
  • Maintain American Progress’ events calendar.
  • Prepare and process invoices and financial records, coordinating event budget records and projections.
  • Serve as the primary HR contact for trainings, leading new-hire orientations and intern trainings on events procedures while maintaining up-to-date training materials.
  • Perform other duties as assigned.

Requirements and qualifications:

  • Bachelor’s degree or equivalent experience; two to three years of event planning experience preferred.
  • Superb oral and written communications skills.
  • Ability to work under pressure and tight deadlines and beyond normal business hours.
  • Attention to detail with excellent organizational and time-management skills are a must.
  • Ability to handle media interaction and travel for the position when necessary.
  • Capability of handling audio, video, lighting, and live-streaming technologies preferred.
  • Basic understanding of and ability to use Adobe Dreamweaver, Adobe Photoshop, HTML, Microsoft Word, Microsoft Excel, and content management systems.
  • Nonprofit, political advance, and experience working with 501(c)(3) and 501(c)(4) organizations a plus.
