Special Events and Production Manager

American Progress has an immediate opening on its Events team for a Special Events and Production Manager, who will manage a portfolio of policy teams and support all events efforts, both at American Progress’ in-house events space and at external venues.

This role will be driven by American Progress’ mission “to improve the lives of all Americans through bold, progressive ideas as well as strong leadership and concerted action, with the aim of not only changing the conversation, but changing the country.” The Special Events and Production Manager will be part of a dynamic Events team and Communications department that support work across American Progress’ five crosscutting priorities:

  • Strengthening health and ending the pandemic
  • Building an economy for all
  • Tackling climate change and environmental injustice
  • Advancing racial equity and justice
  • Restoring social trust in democracy

The Special Events and Production Manager works with the other members of the Events team to plan and execute American Progress’ events, working between departments internally and externally, maintaining event calendars, and performing other duties related to organizing and hosting small- and large-scale events in in-person, hybrid, and fully virtual formats.


  • Lead planning and execution of small- and medium-scale events and events series, and assist with larger events.
  • Act as lead on assigned portions of larger events.
  • Ensure logistical and technical preparations for in-person, hybrid, and virtual events are completed.
  • Coordinate interdepartmentally with American Progress staff and with external vendors and the public.
  • Manage relationships with photographers, caterers, equipment and technical vendors, and other external vendors.
  • Write and prepare web-based event invitations and other work-related correspondence.
  • Maintain the American Progress’ events calendar.
  • Prepare and process invoices and financial records, coordinating event budget records and projections.
  • Perform other duties as assigned.

Requirements and qualifications:

  • Bachelor’s degree or equivalent combination of education and work experience.
  • Two to four years of event planning experience is required.
  • Capability of handling audio, video, lighting, and livestreaming technologies is preferred.
  • Prior experience in live event production or technical theater is a plus.
  • Comfort building, editing, and working with event budgets.
  • Superb oral and written communications skills.
  • Ability to work under pressure and tight deadlines both solo and with a team, and beyond normal business hours.
  • Detail-oriented with excellent organizational, public relations, and time-management skills are a must.
  • Ability to handle media interaction.
  • Ability to travel for the position when necessary.
  • Basic understanding and ability to use Adobe Dreamweaver, Adobe Photoshop, HTML, Microsoft Word, Microsoft Excel, and content management systems.
  • Nonprofit, political advance, and experience working with 501(c)(3) and 501(c)(4) organizations is a plus.
